1. Agreement to Terms

These Terms of Service ("Terms") govern your access to and use of the Concept Medical Practice Management Software ("Concept Medical", "the Service", "we", "us", or "our"). By accessing or using Concept Medical, you ("User", "Practice", or "Subscriber") agree to be bound by these Terms and our Privacy Policy.

2. Description of Service

Concept Medical provides cloud-based practice management software for healthcare professionals, medical clinics, and administrative staff. Services include patient record management, clinical documentation, appointment scheduling, billing, document scanning, and integrated communication tools (including Microsoft 365 OAuth email integration).

3. User Responsibilities & Account Security

Users of Concept Medical agree to:

  • Maintain the confidentiality of login credentials and account access.
  • Ensure that all practice personnel utilizing the Service are duly authorized healthcare or administrative personnel.
  • Use the Service in full compliance with applicable healthcare laws, patient privacy regulations (including GDPR), and professional medical standards.
  • Not attempt to reverse engineer, disrupt, or gain unauthorized access to the Service or associated infrastructure.

4. Third-Party Integrations & Microsoft 365 Services

Concept Medical enables integration with third-party providers, including Microsoft 365 / Azure AD OAuth for sending and managing practice emails via Microsoft Graph API.

  • Your use of Microsoft 365 services remains subject to Microsoft's Terms of Service and Privacy Statement.
  • Concept Medical is an independent software provider. Connecting third-party services is optional and under your control.
  • We are not responsible for third-party service outages or policy changes enforced by external providers like Microsoft or Xero.

5. Intellectual Property

All rights, title, and interest in and to Concept Medical (excluding patient and practice data owned by Subscriber), including software code, UI design, logos, and trademarks, remain the exclusive property of Concept Medical and its licensors.

6. Clinical Disclaimer & Limitation of Liability

Concept Medical is an administrative and clinical record-keeping tool. It does not provide medical advice or clinical diagnosis. Licensed healthcare providers retain full responsibility for all clinical decisions, treatment plans, and patient care.

To the maximum extent permitted by law, Concept Medical shall not be liable for indirect, incidental, or consequential damages arising from the use or inability to use the Service.

7. Termination & Service Modifications

We reserve the right to modify, update, or suspend features of the Service to enhance security or functionality. Practices may terminate their account in accordance with their subscription agreement, upon which data export options will be provided.
